Everything You Need to Know

The following is a list of questions frequently asked by host families, agencies and partners.

Host family Qualifications
Q, I am interested; can I apply to be host family? A, Of course!! Our hosts come in all shapes and sizes, cultures, and we welcome diverse families. Please remember English should be the spoken language in the home. Please check our host family requirements for details.
Q, I live far from downtown Victoria. Can I still host a student? A, Of course!! we offer a variety of programs (weekend, short term, long term, etc...) and school location varies by program types. Please contact VIEC if you would like more information.
Q, I have several pets. Can I still host a student? A, Of course!! We can arrange a student who is not allergic to animals and some of our students prefer living with families with pets.
Q, Do I need to drive my student to/from school each day? A, Transportation requirements varies by program. For most of the school programs, students can take a bus to/from school.
Q, How/where can I apply for a Criminal Record Check (CRC)? A, Families can apply for a CRC at your local RCMP. Also, we have an online Criminal Record Check option (Criminal Record Review program (CRRP) from Ministry of Justice BC) available for your convenience. Please ask a homestay coordinator for more details.
Hosting Student
Q, May I host more than one student at a time? A, Number of students placed depends on the size of the groups. We will place 1 student as well as 2 or more students per host family according to the group requirement.
Q, What country will the students come from and how old are they? A, Primarily, students come from Japan. Our students range in age from 10 to 60+ years old as we believe there is no age limit to travel abroad and study a new language and explore possibilities. Most of VIEC students/groups are Middle/High school age though it depends on the group or school that they travel with.
Q, Where will the students study? A, Depending on the groups, students study at universities, public/private high schools in Greater Victoria area, or language schools located in downtown Victoria.
Q, How long will the students stay in Canada? A, the length of students’ stay varies from 2 days to a year or longer, depending on the students/groups as we offer variety of programs throughout the year. Our popular programs are weekend programs (2-4 days) and study/experience programs (1 -3 weeks) and most of the programs include studying English at language schools and/or experiencing Canadian life & culture by spending time with host families.
Q, Will my student speak English? A, The level of English that your student speaks will vary. It depends on the student’s age, experience, and willingness to try. Please encourage your student to try as much as they can. If you are having a difficult time communicating with your student, using more body languages as well as writing on paper, will help students understand.
Q, When can I know the student’s information? A, Students information will be provided via Email by homestay coordinator approximately 2 weeks before the student’s arrival.
Q, What kind of activities should I do with my student while they are here? A, While not mandatory, we encourage host families to take students to attractions around the city. Also, doing small things together, like going for walks, going shopping, or cooking together, will help develop the connection between you and your student. Please remember, interacting and talking with your student is the best activity!
Q, How will I be matched with a student? A, Given the information provided, we carefully place considering the needs of student and host family. Health concerns such as allergies will be prioritised. We do our best to match from given preferences, we cannot guarantee all preferences will be met.
Q, What if I encounter challenges with hosting a student? A, Most of the cases are due to culture differences or misunderstanding. Please feel free to contact us so that we may be able to help improving the situation.
Q, Am I paid or compensated? A, Host families are paid and the compensation varies by program. The compensation is provided to cover the extra expenses associated with having student(s). Hosting students is something you do for cultural experiences, not to make money.
Q, In case of an emergency or illness, who do I contact? A, Please contact the VIEC office if it’s our regular business hours (9:00am - 5:00pm on weekdays). If it’s outside the business hours, please contact our emergency phone number. VIEC staff are available to you 24 hours a day, 7 days a week.
Q, What if I have to cancel the program? A, Hosts rarely cancel the program, but if they do, it is only for exceptional circumstances, like a sudden illness. If you must cancel, please contact VIEC immediately.
For Agent and Partner
Q, What types of students can be placed in homestay? A, We welcome students of all ages, including high school, college, university, and language school students. We accommodate both short-term and long-term stays, ensuring a comfortable and supportive environment for each student.
Q, How are host families selected? A, All our host families go through a thorough screening process, including home inspections and criminal record checks for all adult household members. We ensure that our families provide a safe, English-speaking, and welcoming environment for students.
Q, Can study abroad agents require specific homestay requirements for students? A, We work closely with our agents to understand the needs of our students, such as food allergies, pet allergies, and cultural or religious requirements. Please note, however, that we cannot always meet all requests regarding food, pets, family structure, etc.
